• Administrative Offices and Academic Units

    The Texas A&M University College of Medicine has established the following policy and procedures for the proper use of the Reynolds Medical Building (RMB) lobby for any lunch, reception, or other function in which food is served. The purpose of this guideline is to preserve the cleanliness and integrity of the lobby as an entrance to the College of Medicine. This is of particular importance now that the physical plant services for the RMB have been greatly reduced. This guideline and these procedures are to be followed for all events where food is served in the RMB.

    Guideline

    • Lunches, receptions, or any event serving food must be scheduled through the College of Medicine Office of the Dean.
    • All administrative offices and academic units will receive priority over student groups for use of the lobby, and may displace student groups at any time.
    • Only one group will be allowed to serve food in the lobby at a time.
    • Food that is served in the lobby without prior approval will be removed.

    Procedures

    • Events at which food will be served in the lobby must be scheduled through the Office of the Dean at least two (2) weeks in advance of the event.
    • The group responsible for serving food in the lobby is responsible for cleaning up the lobby within 30 minutes after completion of the event.
    • Failure to do so will result in loss of privilege to serve food in the lobby for one year.
  • Students and Student Groups

This is of particular importance now that the physical plant services for the RMB have been greatly reduced. This guideline and these procedures are to be followed for all events where food is served in the RMB.

    Guideline

    • Lunches, receptions, or any event serving food must be scheduled through the College of Medicine Office of the Dean.
    • All administrative offices and academic units will receive priority over student groups for use of the lobby, and may displace student groups at any time.
    • Only official, sanctioned student groups will be allowed to serve food in the lobby for any event/occasion.
    • Student groups which are not official (i.e., birthday lunches, etc.) will not be allowed to serve food in the RMB. No exceptions.
    • Official, sanctioned student groups which are granted permission to host a lunch/reception in the lobby of the RMB are not guaranteed permission to use the lobby as student groups may be displaced by administrative offices and/or academic units at any time.
    • Food served is limited to box lunches only. Buffet lunches, including pizza, will not be allowed.
    • Food must be set up in a hallway and not in the main lobby area.
    • Only one group will be allowed to serve food in the lobby at a time.
    • Food that is served in the lobby without prior approval will be removed.

    Procedures

    • Official, sanctioned student groups must submit a written request to the Office of the Dean one month prior to the event to receive permission to use the lobby. This request is to include the name of the group, date, purpose of the event, name of the food vendor, and a description of the food to be served. Permission to use the lobby does not guarantee use of the lobby.
    • Student groups will be notified of approval from the Office of the Dean.
    • Students are responsible for cleaning the lobby within 30 minutes after completion of the event. Failure to do so will result in loss of privilege to serve food in the lobby for one year.
